1. Access
The first thing I want to check is the "door-to-door" travel time from the hotel to the venue.
Exhibition venues often span multiple halls and are large-scale facilities. Therefore, even if a hotel is advertised as being "3 minutes' walk" away, the actual travel time will vary depending on the gate and exhibition hall you use. If you know which exhibition hall you will be exhibiting in, be sure to compare the hotel's location with the venue map.
2. Facilities and Services
Next, it's a good idea to check for free Wi-Fi, work desks, coin laundry facilities, and breakfast service hours. If you're staying for several nights, including the setup day, having laundry facilities will reduce the amount of clothing you need to bring. If you plan to do document preparation or online meetings at the hotel, the size of the room and whether or not there's a desk are also important factors.
3. Reservation status
During large-scale trade shows, hotel vacancies in the surrounding area may be limited. It's best to first check the cancellation policy before booking a room, and then review your reservation once your business trip is confirmed.

1. Cancellation deadline
Even if it says "free cancellation," the free cancellation period varies depending on the accommodation plan.
When booking multiple rooms, different cancellation policies may apply compared to regular individual bookings, so be sure to carefully check the booking screen.
2. Payment Method and Receipt
If using a credit card, check which brands are accepted and whether prepayment is possible.
If you require a receipt or invoice with your company name on it, please inquire before making a reservation to ensure a smooth payment process.
3. Breakfast start time
When choosing a plan that includes breakfast, please check if the restaurant's opening time will allow you to arrive in time for your meeting. Alternatively, you can choose a room-only plan and prepare breakfast the day before at a convenience store or similar.
4. Receiving and storing luggage
If you are sending printed materials, samples, or suitcases for an exhibition to the hotel in advance, please check the receiving conditions, how to fill out the shipping label, and the size of packages that can be stored.
Some hotels may not accept large exhibits or cash-on-delivery packages. If you plan to leave your luggage after check-out, be sure to check the hotel's storage hours for that day.
5. Confirm the route to the exhibition hall you will be using.
